Job Overview

We are seeking a highly organized, detail-oriented Administrative Assistant & Bookkeeper to oversee daily office operations, manage accounting functions, and support smooth team coordination. This role is ideal for someone who thrives in a fast-paced, team-oriented environment.

Key Responsibilities

Administrative / Office Management

•\tAnswer phones, route messages, greet and assist clients

•\tOpen and close the facility daily

•\tHandle incoming/outgoing mail

•\tTrack and issue contracts and purchase orders (POs)

•\tMaintain job folders (electronic)

•\tFile preliminary lien notices as needed

Bookkeeping / Accounting (QuickBooks Online)

•\t**Accounts Receivable:** Generate and send invoices, record check payments and deposits, update AR aging and follow up on outstanding balances, maintain accurate delivery and payment records

•\t**Accounts Payable:** Enter and code bills and vendor acknowledgments, print and mail checks weekly

•\tAccounting support for Head of Operations
