Role Summary
We are looking for a proactive and detail-driven Administrative Assistant to support our home construction, remodeling, and property management business. This role ensures projects, property management tasks, and client communications run smoothly by managing schedules, following up on job progress, and keeping records accurate. The ideal candidate thrives in a fast-paced, multi-tasking environment and serves as a reliable point of contact for clients, vendors, tenants, and internal teams.
Responsibilities
Monitor and follow up on emails, job-related calls, and text messages to ensure timely responses.
Use Jobber to manage scheduling, confirm appointments, and follow up with clients and subcontractors.
Respond to Buildium property management tasks, coordinate maintenance requests, and schedule work orders.
Track estimatessend reminders, follow up on approvals, and ensure timely processing.
Confirm completion of jobs, request client reviews, and document feedback.
Assist with job costing by managing receipts, reconciling expenses, and supporting
accurate financial tracking.
Maintain organized records of contracts, invoices, tenant communications, and project documents.
Support project managers with permitting, vendor coordination, and timeline tracking.
Research and schedule networking opportunities and industry events to support company growth.
Perform general office support such as ordering supplies, managing files, and maintaining internal databases.
Requirements
Must-Have:
2+ years of administrative experience, preferably in construction, remodeling, real estate, or property management.
Strong organizational skills and ability to follow up on multiple priorities simultaneously.
Excellent written, phone, and interpersonal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
High attention to detail, accuracy, and follow-through.
Customer service mindset with a professional and approachable demeanor.
Preferred:
Experience with Jobber and Buildium (or similar scheduling/property management
platforms).
Familiarity with construction project management workflows.
Basic accounting and expense tracking knowledge.
Expected Results:
All client, tenant, and vendor inquiries acknowledged within 24 hours.
Jobber schedules maintained with 95%+ accuracy and timely confirmations.
Buildium tasks resolved and scheduled within 48 hours of receipt.
Job costing and receipt management completed weekly with less than 2% error rate.
Follow-up on estimates completed within 2 business days.
At least 12 networking opportunities scheduled per month.
Positive feedback and review requests sent to clients upon project completion.
