Job Description

Overview:

The Events Coordinator will support fundraising activities within the department to ensure that Institute events are executed professionally and yield high-quality outcomes. This staff member will assist with the maintenance and accuracy of published events information; create new events; draft and send regular correspondence; maintain databases and reports; research and gather information; work with donor prospects and volunteers; and serve as primary contact for special events. The incumbent will engage and assist with the strategic planning process and oversee the operational functions of assigned events.

Responsibilities:
  1. Serve as staff liaison to chairpersons and committees of internal/departmental fundraising events and provide coordination support for third-party/community fundraising events.
  2. Represent the Institute on events related contracts and negotiations and at special events and public relations/media activities.
  3. Assist with event planning and provide recommendations to operating policies and practices that will enhance the event based on careful evaluation and analysis of event performance and policies.
  4. Create and maintain donation event registration and ticketing pages using the online fundraising platform DonorDrive. Update content on DonorDrive and the Institutes website (e.g., the Foundation page and event calendar). Periodically run and distribute regular and ad-hoc reports as needed.
  5. Recommend and implement event promotion strategies to include drafting articles about events that benefit the Institute for various publications and sending correspondences to current and past event participants/supporters using DonorDrive and Microsoft Outlook.
  6. Maintain databases, research, analyze, and identify new in-kind donor prospects for various special events (e.g., FOT, ROAR, Baltimore Running Festival, etc.)
  7. Support the Event Specialists and Director, Special Events in the long-range planning process for future events through retrospective analysis of profitability, participation, and operations.
  8. Assist with the coordination of logistics for Institute events such as ROAR for Kids, Baltimore Running Festival Charity Team, etc.
  9. Assist with the recruitment of volunteer staff and participants, coordinate logistics, and manage the master event operations schedule.
  10. Coordinate with event organizers and Marketing and Public Relations department to ensure the marketing and promotional materials are approved, received, distributed, and appropriate for events.

Qualifications:

EDUCATION:

  • High School diploma or equivalent is required.
  • Bachelors degree i n a related field is preferred.

EXPERIENCE:

  • Minimum 1 2 years of event coordination, planning, meeting and event management, or relevant related work experience is required.
  • Professional office experience is desirable.
