Job Description
A prestigious international law firm is seeking a highly skilled Legal Executive Assistant/Secretary to provide comprehensive administrative support to a group of attorneys, including C-Suite leadership. The ideal candidate will bring strong legal administrative experience, exceptional communication skills, and a polished, proactive approach. This role will be hybrid in NYC.
Responsibilities:
- Handle confidential and sensitive information with discretion; act as a liaison for internal and external clients via phone, email, and in-person.
- Prepare, edit, and process client billing, including time entry and substantive revisions.
- Maintain complex calendars, coordinate meetings, and manage business travel and firm event logistics.
- Organize and support meetings, conferences, and presentations; compile and distribute materials in advance.
- Draft, proofread, and format legal documents, correspondence, and presentation materials with accuracy and professionalism.
- Coordinate domestic and international travel and handle associated expense reporting and reimbursements.
- Collaborate with internal departments (e.g., Marketing) to prepare firm communications and presentation content.
- Screen and route telephone calls and incoming correspondence according to firm preferences and protocols.
- Sort and distribute incoming mail and manage document flow efficiently.
- Provide operational and administrative support to attorneys, practice leaders, and firm management as needed.
- Maintain organized and up-to-date filing systems, both physical and electronic.
- Understand and navigate firm policies and procedures, directing inquiries appropriately.
- Offer team support and perform additional tasks aligned with attorney practice needs.
Qualifications:
- 7+ years of administrative experience within a legal or professional services environment supporting senior leadership.
- Proven ability to provide high-level client service in a professional services environment.
- Strong interpersonal and team collaboration skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication, including grammar, punctuation, and formatting.
- Ability to prioritize, multitask, and adapt to shifting priorities while maintaining accuracy.
