Guild Mortgage Company, closing loans and opening doors since 1960, is dedicated to serving homeowners and buyers with affordable financing solutions. Position Summary This is a part-time position with a 30‑hour work week. The Transaction Coordinator assists originators in building complete loan files, performing Lead to Contract and/or Contract to Close duties. Compensation This non‑exempt role offers a targeted salary range of $20/hr to $22/hr annually. Essential Functions Lead to Contract duties Assist originators in setting appointments with prospective and new applicants. Return new lead callbacks within 20 minutes and maintain a 35% conversion rate from lead to appointment. Provide administrative support managing client databases, sending pre‑qualification links, and preparing web applications. Update credit reports and AUS findings for licensed teammates. Set and confirm appointments and manage calendars. Prepare and send thank‑you cards to referral sources and new clients. Act as a customer point of contact, keeping them informed throughout the process (subject to Guild’s SAFE Act and privacy policies). Run credit on loans assigned to an originator. Request status updates from approved clients and referral sources. Contact expired or pre‑approved clients to gather necessary documentation for updates. Provide marketing support by coordinating, creating, approving, tracking, and distributing advertising materials. Manage monthly compliance‑approved email marketing to realtors. Contract to Close duties Monitor key loan transaction dates and respond accordingly. Send loan forms, disclosures, agreements, and other documentation to customers for completion and signature; manage collection. Maintain the originator’s database, tracking active loans and entering data. Provide customer follow‑up and answer inquiries, subject to Guild’s SAFE Act policy. Support the collection and preparation of loan applications for processing. Order necessary documents (e.g., 4506T, SSA, credit supplements). Submit loan applications, resolve file issues, and assist processors in clearing conditions. Offer administrative assistance through production and underwriting processes. Provide status updates to referral sources on active loans (subject to privacy policies). Additional Common Duties Collect supporting documentation from customers for pre‑approval. Maintain referral source relationships with quick response and excellent service. Keep up to date with approved programs and software systems; implement new systems. Answer customer inquiries regarding loan status. Perform clerical and administrative support as needed. Prohibit submitting underwriting documents or assisting borrowers with application completion. Act as the primary point of contact, keeping the customer informed throughout the process. Assist originators with obtaining accurate and thorough 1003 forms. Analyze customers’ credit and financial scenario to determine appropriate loan products. Price loans in accordance with Guild’s policies and communicate fees to the operations team. Quote rates and lock to the customer. Discuss product features with the customer. Qualifications High school diploma or equivalent preferred, with at least one year total experience in mortgage lending or a related field. Active MLO licensing not required. Manage multiple priorities with strong detail orientation and organization. Work with a strong sense of urgency and responsiveness. Passionate about delivering excellence in customer service. Demonstrate patience and professionalism when interacting with internal and external customers. Proficiency with data entry, PDF software, Microsoft Word, and Excel required. Strong verbal and written communication skills; basic math skills. Ethical commitment to company values. Supervision No direct or indirect reports. Low level of independent judgment and discretion; escalates complex issues for resolution. Travel: 0%. Requirements Physical: Primarily sedentary; mobility in an office setting. Manual Dexterity: Frequent use of computer keyboard and mouse. Audio/Visual: Accurate interpretation of sounds and visuals at conversational volume; regular perception of information transferred visually and audibly. Environmental: Office environment – no substantial exposure to adverse environmental conditions.
