LOCATION : Tigard, OR

SALARY : $27 per hour

SCHEDULE:  Full-Time, Monday-Friday, 8:00 am to 4:30 pm, Temp Role (7 months)

 

INDUSTRY : Organizational Health

 

THE ROLE

We are looking for an HR Assistant to perform advanced administrative and clerical duties supporting our client in Organizational Health. This person will manage independent projects, coordinate assigned activities and other human resources duties as needed. 

 

PRIMARY RESPONSIBILITIES

  • Serve as a primary contact person to both internal and external customers, including face-to-face contact and answering complex questions. 
  • Coordinate all aspects of events including annual events, event communications and materials, venue reservations, catering or food items, presenters, creating the program, RSVP tracking, event staffing, equipment, maintaining award and recognition inventory, venue set-up and clean-up, and other miscellaneous tasks.
  • Research, track and maintain records of expenditures under established guidelines using the district’s enterprise resource program (ERP).
  • Provide administrative support for annual budget development for the division, including making entries into the ERP during budget development, entering requisitions, and reconciling invoices.
  • Provide various technical and advanced administrative support to the talent acquisition function including logistical support for interview panels and other evaluation events.
  • Assist with creating and posting job announcements and recruiting collateral using an applicant tracking system, publishing software and other web-based programs.
  • Communicate instructions to candidates and proctoring tests; assist with reference and background check processes; and perform record keeping and other administrative tasks.
  • Maintain and file electronic and paper records, including hard copy personnel files in accordance with the records retention schedule, while maintaining strict confidentiality of all employee information. 
  • Audit, track, and file various benefits and employment-related employee forms.
  • Coordinate regulatory agency reporting as assigned.
  • Provide logistical support to support Commission meetings, including assisting with meeting scheduling, coordinating and testing appropriate meeting technologies, merging agenda items into an electronic packet, reserving room, coordinating building access and room set-up and clean-up, coordinating food service, taking/recording meeting minutes, driving the dais control panel during the meeting, drafting meeting minutes, and finalizing minutes after HR Manager review.
  • Update the Organizational Health web pages on the intranet. 
  • Post and revise information and create links to information necessary for employees and others to find.
  • Provide administrative support for recognition programs, including Recognition Committee meeting support, recognition award nomination processing, and award presentation coordination.
  • Provide back-up coverage to other administrative staff, as needed, including regular rotation of on-call front desk coverage. 
  • Provide back-up coverage for retirement recognition, which may include coordination of retirement gifts and parties, acquiring plaques, badges, helmets, gift certificates and other items necessary prior to any retirement function.

 

SKILLS AND MUST-HAVES

  • Associates degree
  • Three years of experience performing advanced administrative support functions, preferably in Human Resources. 
  • Intermediate proficiency in Microsoft Office Suite, desktop publishing, and other computer programs as needed.
