Real Estate Transaction Coordinator & Operations Manager (Orlando)

Full-Time Remote Position
Compensation: $50,000 - $60,000 annually + performance bonuses

SEEKING EXPERIENCED TRANSACTION COORDINATOR & OPERATIONS PARTNER

Established Orlando real estate practice (30+ annual transactions, growing to 50+) seeks experienced Transaction Coordinator to manage contract-to-close operations AND serve as operational partner supporting all aspects of a growing real estate business.

This is NOT traditional TC-only work. We need a proven real estate professional who can manage complex transactions while also handling client communication, lead management, and operational coordination for a busy team leader.

REQUIRED EXPERIENCE

Transaction Coordination Expertise:

  • Minimum 3+ years active TC experience managing high-volume practices
  • Proven track record coordinating 100+ transactions annually
  • Experience managing 15+ simultaneous transactions
  • Contract-to-close expertise including contingency management, timeline coordination, and vendor oversight

Technical Requirements:

  • 3+ years active transaction coordination experience
  • Advanced CRM proficiency (Follow Up Boss preferred, but adaptable to new platforms)
  • MLS systems expertise and transaction management software
  • DocuSign, DotLoop, and digital closing platforms

Communication & Client Management:

  • Exceptional written and verbal English for direct client communication
  • Strong phone presence for lead qualification and client consultation calls
  • Experience representing high-producing agents to clients, lenders, and vendors
  • Proven ability to manage inbound leads and convert inquiries to appointments
  • Comfortable communicating AS the principal agent via text, email, and phone

CORE RESPONSIBILITIES

Transaction Management (50% of role):

  • Manage 25-40+ annual transactions from contract ratification to closing
  • Coordinate inspections, appraisals, repairs, and final walkthroughs
  • Communicate directly with lenders, title companies, and cooperating agents
  • Manage contingency deadlines and ensure zero preventable transaction failures
  • Handle complex transaction issues including repair negotiations, financing challenges, and closing delays

Client Communication & Lead Management (30% of role):

  • Handle inbound client inquiries and lead qualification calls
  • Communicate AS the principal agent in texts, emails, and phone conversations
  • Schedule consultations and appointments for qualified prospects
  • Provide transaction updates and manage client expectations throughout closing process
  • Serve as primary point of contact for existing clients and new inquiries

Operational Support & Coordination (20% of role):

  • Coordinate weekly video shoots and content creation logistics
  • Handle calendar management and appointment scheduling
  • Support business operations as the principal agent focuses on high-level activities
  • Manage vendor relationships and coordinate service providers
  • Handle MLS updates, listing management, and market research
  • Provide weekend coverage for urgent client and transaction issues
